Transactional email is where a company can earn more goodwill per word than anywhere else, and it is almost universally neglected. A failed payment notice reading that the transaction could not be processed and the customer should update their details is technically complete and does nothing: it does not say which card, when the retry happens, what stops working and when, or whether they have already lost anything. We rewrite these so the message states what happened in the customer's terms, what the consequence is and by when, and exactly what to do — with the action available in one step from the email; so the tone assumes an ordinary cause, because most failed payments are an expired card rather than an empty account and a message implying otherwise is read as an accusation; so the retry schedule is disclosed, since a customer who knows the next attempt is Thursday does not need to do anything today; and so the email says what has not happened, because the fear is that access has already been cut off. The same discipline applies to delivery, security and account emails, where the writing determines whether the next contact is a support ticket.
